Maintenance System

Maintenance History Is Missing or Unusable

The factory cannot reliably reconstruct what failed, what was done, which parts were used, or whether a recurring problem was actually closed.

Engineering decision

Create the minimum asset and work-history structure that supports maintenance decisions before adding software complexity.

Preserve first

Evidence worth collecting before the condition changes

  • Existing asset list or equipment naming
  • Work orders, notebooks, spreadsheets, invoices, or technician reports
  • Common failure descriptions and spare-parts records
  • Who owns data entry and verification
  • Current preventive-maintenance records
Separate the explanations

Questions that improve the diagnosis

  • Can one asset be uniquely identified across records?
  • Can a repeat failure be found without relying on memory?
  • Do records distinguish symptom, cause, action, parts, downtime, and verification?
  • What minimum fields would improve the next maintenance decision?
Avoid premature action

What not to conclude too early

  • Starting with a large CMMS data migration before cleaning asset identity
  • Creating duplicate asset names across departments
  • Recording only 'repaired' without failure/action detail
